Members
These are the individuals (parents, carers, teaching and non-teaching
staff and if you are a Friends Association supporters from the local
community or those who have previously been involved with the school)
who make up your PTA.
Committee
This is the team elected at the Annual General Meeting each year to
manage the PTA on behalf of the Members.
There are usually two types of Committee Member: Officers and Ordinary
(or Other) Committee Members. Officers have defined roles such as Chair,
Treasurer or Secretary. All Committee Members have equal voting rights,
except for the Chair of a Committee Meeting who has a casting vote.
Roles and Responsibilities
The Chairs Job
Provide leadership
Set the Agenda for meetings
Call the meeting to order when it is time
Welcome and involve new members
Ask for apologies for absence
Follow the Agenda and keep the meeting under control
Sign the approved minutes of the last meeting
Get to know members of the Committee
Agree a date for the next meeting
Close the meeting
Write the annual report in cooperation with the Secretary
Sign cheques for the PTA with one other committee member
The Vice Chairs Job
To perform the Chairs duties if they are absent
The Secretary's Job
Deal with correspondence
Prepare Agendas
Call meetings - giving plenty of notice
Keep a record of attendance at meetings
Take notes during meetings
Write up the minutes of meetings
Distribute minutes to all the Committee
Make meeting & event arrangements
Co-sign cheques as required
Write the Annual Report with the Chair
The Treasurers Job
Maintain the financial records
Report income & expenditure at meetings
Liaise with the bank
Regular and other payments
Prepare and co-sign cheques as required
Count and bank monies
Charity registration and Gift Aid
Draw up the annual accounts
Ordinary Committee Members
Ordinary Committee Members play a valuable supporting
role. Acting as an Ordinary Committee Member provides useful experience
for taking on the role of an Officer in the future.
